About this opportunity: 

This position will serve as the primary point of contact for guests and staff, delivering best-in-class customer service and creating a welcoming, professional front desk experience. The role is responsible for ensuring the smooth operation of reception activities, including visitor management, incoming calls, and general office support. Additionally, the receptionist will support workplace operations by assisting with administrative tasks, maintaining an organized and safe reception area, and coordinating vendor and workplace team activities. The ideal candidate is professional, detail-oriented, adaptable, and collaborative, with a proactive approach to supporting both employees and visitors. 

 

This role is based at our St. John’s, NL office. 

 

What you’ll do: 

  • Serve as the primary point of contact, greeting employees, visitors, and vendors while delivering a professional and welcoming front desk experience. 

  • Manage all front desk operations, including in-person, phone, and email inquiries, ensuring timely and effective communication. 

  • Coordinate visitor management processes, including maintaining logs, issuing access badges, and adhering to security protocols. 

  • Maintain a clean, organized, and fully functional reception area to support daily workplace operations. 

  • Oversee incoming and outgoing mail, courier services, deliveries, and office supply inventory, including ordering and restocking. 

  • Provide administrative and coordination support, including document preparation, record updates, and onsite event support. 

  • Liaise with vendors and service providers, report facility issues, and assist with service request follow-ups and workplace readiness (e.g., onboarding support, workstation setup). 

  • Support workplace safety and security by ensuring protocol adherence, assisting with emergency procedures, and addressing urgent front desk matters as needed. 

 

Who you are: 

Our ideal candidate will have the following minimum qualifications: 

  • Legally authorized to work in Canada 

  • High school diploma required; post-secondary education in business administration or office management is an asset.

  • Minimum 1 year of experience in a receptionist, administrative, or customer-facing role. 

  • Excellent interpersonal and communication skills, with a professional, customer-focused presence. 

  • Highly organized with strong attention to detail and the ability to manage multiple tasks in a fast-paced environment. 

  • Proficient in MS Office Suite and comfortable learning new systems, such as SharePoint or ServiceNow. 

  • Collaborative and adaptable, able to work effectively with colleagues and leaders at all levels of the organization.
