Knowledge Management Analyst

Job Description:

The Legal Knowledge Management Analyst will lead the development and execution of a modern knowledge management (KM) strategy for bp Legal, ensuring that institutional knowledge, legal expertise, and operational insights are captured, structured, and accessible.

This role will play a critical role in improving how Legal collaborates and operates, enabling faster decision-making, reducing duplication of effort, and strengthening consistency across global teams, which will directly improve efficiency and enhance the quality of legal services delivered to the business.

This role sits within Legal Operations, the distributed team responsible for making the Legal function run as an efficient, scalable business unit that delivers value to the company.  This role is foundational to scaling bp Legal.

This role will:

  • Work closely with the Head of Legal Operations, other members of the Legal Operations team, with the Legal Innovation team and the practice area teams throughout Legal.
  • Define and implement a global Legal KM strategy aligned to business priorities.
  • Ensure lawyers and legal professionals have the tools, processes, vendors, and data they need to complete their work efficiently.
  • Find opportunities to improve efficiency, reduce risk, and enhance service delivery.
  • Seek continuous improvement, such as seeing opportunities to streamline processes, solve novel problems and / or enhance tools and processes based on user feedback, industry advances and emerging best practices.
  • Balance cost, capability, and sustainability, particularly in response to cost pressure and growing demand.
  • Focus on critical initiatives and delivering value for our business.

Key Accountabilities:

  • Design and manage frameworks for organizing legal knowledge (playbooks, templates, precedents, etc.).
  • Define KPIs and metrics to assess KM effectiveness (usage, adoption, time savings, etc.) and use data to inform ongoing improvements and investment decisions.
  • Define business requirements for KM tools (e.g., DMS, search, AI-enabled knowledge tools). Ensure knowledge assets are maintained, current, and aligned with business needs.
  • Establish governance models, standards, and guidelines for knowledge capture and reuse.
  • Identify critical knowledge at risk (e.g., departures, major matters) and implement retention strategies.
  • Drive improvements to document management, taxonomy, metadata, and searchability.

Education:

  • Bachelor’s degree or experience, preferably in one of the following areas:
    • Law
    • Computer Science / Information Systems
    • LegalTech / Legal Innovation
    • Business, STEM, or related discipline with demonstrable interest and experience in legal technology
  • Professional experience or vocational training in legal operations or legal tech will also be considered, as will transferable experience in another sector that demonstrates the key skills required for the role.

Experience

  • 2-5 years experience in knowledge management within Legal Operations, or equivalent information management experience.
  • Experience implementing KM frameworks, content strategies, or enterprise knowledge solutions.
  • Experience working with document management systems, collaboration tools, or legal tech platforms.

Skills

  • A demonstrable interest in innovation, automation, emerging technologies, and new ways of working.
  • A track record of working effectively as a team and the ability to collaborate effectively across multi-functional teams and multiple locations.
  • Strong critical thinking and ability to translate vision into execution.
  • Ability to structure complex information into usable frameworks.
  • Stakeholder management across legal, technology, and business teams.
  • Change management and adoption expertise.
  • Good communication and training capability.

Desirable Criteria:

Preferred

  • Experience in a global legal department or professional services environment.
  • Familiarity with legal workflows, external counsel management, and legal data.
  • Exposure to AI or advanced search technologies in knowledge management.
  • Experience partnering with Finance, Procurement, IT, Digital Security and other non-legal teams.

Experience with the following platforms is a plus:

  • Document Management platforms (e.g., iManage, etc.).
  • Document drafting and automation tools (e.g., Litera, HotDocs, Docassemble, Definely, etc.).
  • AI legal assistants or other legal AI platforms (Wordsmith, Flank, Luminance, Legora, Harvey, Claude, Copilot, etc.).
  • Exposure to legal operations methodologies (e.g., process mapping, Lean, Six Sigma, etc).
  • Contract lifecycle management (CLM) tools.
